Welcome to Fluency Lab! By booking any session, consultation, or free service, you agree to abide by the following terms and conditions. Please read them carefully before making a booking.
1. General Booking Policy

All sessions are conducted online via Zoom. A link will be sent to your registered email before the session begins.

You are responsible for ensuring a stable internet connection and a suitable environment for your session.
1.1. Cancellation and Rescheduling
-
Sessions may be canceled or rescheduled at least 12 hours in advance without penalty.
-
Cancellations made less than 12 hours before the session start time will be considered attended and will be fully charged.
-
No refunds will be issued for canceled sessions; however, you may reschedule a class of equal value, subject to the availability of your Spanish tutor.
-
If you are unable to attend due to illness, personal matters, or unforeseen circumstances without providing at least 12 hours’ notice, you are not eligible for rescheduling or credit.
1.2. Cancellations or Changes by Fluency Lab

Fluency Lab reserves the right to cancel or reschedule any session due to unforeseen circumstances, including technical issues or tutor availability.

In such cases, students will be given the opportunity to reschedule at a mutually convenient time.
2. Consultation Call Policy
-
Consultation calls are conducted via Zoom. A link will be provided before the scheduled time.

You must have a stable internet connection and a suitable setting for the call.
2.1. Cancellation and Rescheduling
-
You may cancel or reschedule a consultation call up to 12 hours before the scheduled time.

If you cancel less than 12 hours before the consultation, you will need to rebook through our standard scheduling process.

2.2. Cancellations or Changes by Fluency Lab

Fluency Lab reserves the right to reschedule or cancel any consultation call.

If this occurs, you will be given the option to reschedule at a convenient time.
3. Free First 60-Minute Session Policy

The free first session is conducted via Zoom, and a link will be sent in advance.
3.1. Cancellation Policy
-
If you need to cancel, you must do so at least 12 hours in advance.

If you cancel less than 12 hours before the scheduled time, the session will be considered attended, and you will not be eligible for rescheduling.
3.2. Cancellations or Changes by Fluency Lab
-
Fluency Lab reserves the right to cancel or reschedule the free first session if necessary.

If this occurs, you will be given the opportunity to reschedule.
4. Payment & Refunds
-
All payments must be made in full at the time of booking.
-
Refunds are not available for missed or canceled sessions unless Fluency Lab is responsible for the cancellation.

Rescheduling is permitted only within the guidelines specified above.
5. Code of Conduct
To ensure a positive and productive learning environment, all students must:

Arrive on time for their sessions.
-
Maintain respectful and professional communication with their tutor.
-
Avoid disruptive behavior, including inappropriate language, harassment, or any conduct that violates professional standards.
Fluency Lab reserves the right to discontinue services for students who violate these terms, without refund.
6. Limitation of Liability

Fluency Lab and its tutors are not responsible for any technical issues, including internet disruptions or software malfunctions on the student’s end.

We are not liable for any indirect, incidental, or consequential damages arising from the use of our services.
7. Changes to These Terms
Fluency Lab reserves the right to update these Terms of Service at any time. Any modifications will be posted on our website, and continued use of our services after changes have been made constitutes acceptance of the new terms.

Testimonial Scholarship Program – Terms & Conditions

1. Eligibility & Enrollment

The Testimonial Scholarship Program is available exclusively to those who attend the "Strategies to Learn Spanish That Fit Your Schedule" webinar.
-
While active healthcare professionals are encouraged to apply, the program is also open to healthcare students and volunteers looking to improve their Spanish for medical settings.
-
No formal application is required—by using the scholarship coupon code at checkout, the participant automatically agrees to these Terms & Conditions.
2. Testimonial Commitment
-
Participants must provide a video testimonial about their experience in the program. A written testimonial is optional but encouraged.
-
The testimonial will be collected in two phases:
-
Initial interview (around one month into the program).
-
Final interview (after completing 36 lessons or reaching the end of the program).
-

Interviews will be conducted via Zoom and scheduled by Fluency Lab. Participants will be able to choose a convenient time.
-
The testimonial must be completed in English (participants can use some Spanish if they wish, but the main discussion will be in English).
-
If an interview is disrupted due to technical issues (poor audio, excessive background noise, etc.), the participant may be asked to reschedule.
3. Payment & Non-Compliance with Testimonial Requirement
-
The Testimonial Scholarship reduces the program fee to $649 (instead of the standard enrollment price).
-
If a participant fails to provide the required testimonial, they will be charged the remaining balance to meet the full program cost.
-
If the participant fails to complete and sign the Testimonial Release Form, they will no longer qualify for the scholarship and will be required to pay the full program price of $997.
-
Failure to comply will result in an invoice for the remaining program fee, which must be paid by the participant.
4. Refund & Payment Terms
-
The $649 payment is required upfront to access the program.
-
If a participant requests a refund after the first month, a $150 administrative fee will be deducted, and no refunds will be available after that period.
5. Legal & Privacy Considerations
-
The testimonial will be used for marketing purposes on Fluency Lab’s website, social media, and promotional materials.
-
Participants must sign a release form allowing Fluency Lab to use their testimonial.
-
If a participant fails to complete and submit the release form, they will be charged the full program price of $997 as they will no longer qualify for the scholarship discount.

Before publishing, participants will receive the final edited version of their testimonial via email.
-
If no response is received within 10 business days, Fluency Lab will assume approval and proceed with publication.

Fluency Lab reserves the right to edit testimonials for clarity, length, and promotional use while maintaining the participant's intended message.
6. Limited Availability & Expiration
-
The Testimonial Scholarship Program is limited to 10 participants and will expire on March 16, 2025 at midnight (EST).
-
The scholarship coupon will expire once 10 participants enroll OR when the general enrollment period for the Spring 2025 cohort ends—whichever happens first.
-
Participants must begin the program by the end of March or early April 2025 and complete their lessons within 10 months.
-
Lesson credits expire after 10 months unless a valid reason for delay is provided. Extensions may be granted only under exceptional circumstances.
By enrolling in this program and using the Testimonial Scholarship Coupon Code, the participant acknowledges that they understand and agree to all the terms outlined above.
